Planado enables seamless task management by allowing you to create jobs for various tasks. Dispatchers use the web application to assign and distribute jobs among workers, while workers access these tasks via the mobile app and begin their work. The platform ensures smooth communication by providing dispatchers with real-time access to monitor job progress at any moment.

 

Before creating the job, you should add new workers and make sure they are allowed to complete jobs in the mobile application.

Jobs are created from templates — a preconfigured form. You can use a default set of templates. But if you want to create your own, check our article Job template.

Create a job in the schedule

Open the Schedule page to see all assignees' timelines.

  

In the schedule you can see only workers with permission to complete jobs in the mobile application. If you don't see some workers, make sure they have permission.



To add a job, click on the worker's timeline. This will let you schedule a job for this worker for the selected time. A list of your templates will open. Select one of the templates.


 

A new window will appear, allowing you to input all the necessary details about the job. This information will be visible to the assignee via the mobile application. While available fields can be customized and set up in the job template, every job includes the following default primary fields.

  • Type — classify jobs by using types. Read more in the article Job types.
  • Description — add a short description of the job for the assignee to see.
  • Scheduled at — enter date and time when the job should be started;
  • Duration — enter the planned duration required to complete the job;
  • Assignee — set a specific worker or a team to complete the job. Only they will be able to view this job in the mobile application. Since the job is being created on the worker's timeline, this field will already be populated.
  • Client/Site — choose or create a client or site.
  • Address — enter an address using search or map with coordinates. If the client you selected already has an address, this field will be filled automatically.
  • Contacts — phone numbers assignee can use to contact the client.



To add external identification to your job, open the context menu under additional settings and select "Add External ID." This will create a new field in the job window where you can enter a custom external ID.


 


Once you've completed all the fields, click the "Add" button. The job will then be displayed on the assignee's timeline. 




To make changes to this job later, simply double-click it on the timeline or open it from the Jobs page.

 

Create a job with the Add job button

You can create a job from any Planado page using the Add job button in the top right corner of the screen.

Click the "Add Job" button, then select a template to open the job creation window.



After filling all the fields, click on the Add button. A new job will appear in the list.


 

Create a job in the list of all clients and sites

You can create jobs for your clients and site from the Addresses page.

To proceed, navigate to the Addresses page. Here, you'll find a list of your clients and their associated sites. For instructions on adding more clients to this list, refer to our article "Create a Client".


 

Open any client to edit his information. Under the edit window, you can see a list of all jobs for this client. To create a new job for this client, click the Add job button and select template. 

Because you're creating a job in the specific client page, you won't have to fill in his address and contact.


 

 

After you enter all the information in the job form, click on the Add button. The job will appear in the list of all jobs for this client.


 

Once you create the job, it will appear in the mobile application of the worker you chose in the Assignee field in the job.
